Bit-Byte Meet the Tree

There was a very minimal difference in the estimated number of attendees and the actual number of attendees (in fact we reported a few more attendees than we expected). We will continue to aim for our attendance estimates to be close to the actual attendance counts.

The purpose of this event was to be a social event for the ACM’s Bit Byte (big little) program. Members interested in picking up or being picked up had the opportunity to meet the current ongoing families as well as new bytes starting their own binary trees. The event was held in science fair table style in which each tree had their own table / booth and bits rotated around the room to meet each family. There were 2 separate sessions for the event to keep the numbers controlled.
Yes, the event was definitely a success, as there was a balanced number of attendees in both session 1 and session 2, and we had great turnout for both the bytes and the bits. We also received positive feedback with the free boba drinks and overall organization of the Meet the Tree event.
AS was definitely our most valuable resource for this event! Without AS, we could not have received funding to provide free boba drinks to most members who showed up. This definitely made our event more engaging and enjoyable for our attendees, which we could not have funded by ourselves.
Very little complications arose during the event. At the beginning, we wanted to have a structured and timed rotations system where bits would move onto the next table every 5 minutes. However, we found it smoother and easier to allow the bits to roam freely and meet bytes to their own discretion, changing the rotation system in the middle of the event.
For Meet the Tree next year, we’ll probably continue to implement similar features (separate sessions and tables for each tree). To improve, we might add some quick slides at the beginning to introduce each tree before the bits get started meeting the bytes.
To boost attendance and eyes on the program, we can further market Bit-Byte on our Instagram, Web Portal, and Tiktok.
