We had a large issue with our attendees' completion of the AS attendance form. We found that the final sheet showed a disproportionately low number of attendees unrepresentative of the ones present had filled out the form - 16 in comparison to our actual attendance of around 60 students.

The purpose/goal of our event was to allow our attendees/members to connect with one another and draw. We also used this event to further announce updates and events for this upcoming quarter.
I believe this event was a huge success! We had around 60-65 attendees/members at our event and gave away all of the tea we had ordered from Gongcha. We also found that our attendees/members really enjoyed the social aspect of the event.
We had a lot of success with attendance and engagement at our event and think that the tea helped encourage more people to come.
As previously stated, we had complications with the completion of the AS attendance form. Under supporting documents, we will show photographic proof of our actual 60-65 attendee/member attendance. I think through not encouraging people to fill out the form from the very beginning of the event and displaying multiple different forms/QRs throughout the announcement section of our event, attendees/members either forgot or did not know they had to fill out the form at all.
For next event, we will be more diligent about making attendees/members fill out our form, and maybe have them fill it out before they enter or before they actually take tea.
I don't think I would change anything.
This mishap caused a lot of distress for us as a club, and I think knowing a protocol if issues like this happen with the form again would be very beneficial.
