IF THERE WAS A DIFFERENCE IN THE ESTIMATED AND ACTUAL ATTENDANCE NUMBERS, PLEASE EXPLAIN WHY YOU THINK THERE WAS A DIFFERENCE. HOW CAN YOU DECREASE THE DIFFERENCE IN ATTENDANCE NUMBERS FOR FUTURE EVENTS? There was a difference. We expected an attendance of 50-55 because we hosted the same exact event last year, and we got about that many attendees. We had 50 RSVPs that said they were going to come to the event, and we sent many reminders, however only a fraction of that showed up. It might be due to it being the Friday before Finals Week, so people might have Saturday Finals, or people ended up being too busy to come. To decrease the difference in actual attendance numbers for future events, we can either host the event earlier in Week 10 (not sure how this would turn out because people are busy during the week), or just expect a huge dip no matter how many RSVPs there are, and estimate the attendance closer to 40. Also, 1 graduate student and 1 faculty advisor showed up, as they were involved too.

WHAT WAS THE PURPOSE OR GOAL OF THE EVENT?
The purpose of this event is to thank all of the people who were involved in Outreach with a free dinner (HKN 198 students, Campus Tour Leads, Club Volunteers) etc. We also talked about next year's initiatives, and invited everyone to next year's HKN Outreach events.

DO YOU CONSIDER THE EVENT TO HAVE BEEN A SUCCESS? WHY OR WHY NOT?
Yes, the event was a success. Everyone got to socialize, enjoy food, look at pictures taken at Outreach events, and the new VPs of Outreach gave a speech that tied it all together.

DID ATTENDANCE DIFFER FROM WHAT WAS RECORDED ON A.S ATTENDANCE VERIFICATION? IF SO, WHY?
A little bit. A faculty advisor and 1-2 graduate students came, but the graduate students signed in. We announced multiple times that attendees need to sign the form, but it was hard to enforce it because people kept coming in at different points within the dinner. However, it is really, really close to the true amount of attendees.

WHAT IF ANY COMPLICATIONS AROSE DURING THE EVENT?
No complications arose. The event went pretty smoothly.

WHAT STEPS OR ITEMS WOULD YOU IMPROVE FOR THE NEXT EVENT?
We will make the RSVP due a little later than we made it, so that people can more accurately judge whether or not they can make it, and then we can adjust the order. We can also have someone at the food pickup table double check AS form filing before acquiring food. It was a longer event, so having someone sit there and not being able to socialize didn’t seem right, but we can try to swap out people throughout the night double checking the form.

WHAT ONLINE CHANGES WOULD YOU MAKE TO ADVERTISEMENTS OR PROMOTION?
I cannot think of any changes. We promoted the event in the Outreach Discord, emailed all campus tour leads and 198 students, and we put the event on the HKN Portal and Instagram. We can maybe create a calendar event and invite everybody as well.
