Estimated attendance was set at 130; the number of people who actually checked in to attendance was at least a little bit lower than the actual number (we had messages from several people who forgot to check in asking to be recorded for attendance). This was possibly because of the structure of the rooms, where in one room the TV didn’t work, so the codes weren’t put on the screen. The other screen was also extremely glitchy; most attendance was probably collected from the food table, and not everyone went to get food. I think the estimate for Meet-the-Tree in the future can probably be set to something like 120 instead, however.

The main goal of the event was for prospective bits to meet existing trees, speak with bytes, and hopefully meet someone that they want to go on a 1:1 with. Additionally, this was one of the social points for participating in the 2025 Bit-Byte iteration.

We think the event was a success; we had a really good turn out for attendance, bits were able to meet a lot of different bytes from different trees, and from what we heard, many 1:1s occurred as a direct result of people meeting each other from Meet the Tree. Our new format this year, with bytes bringing some sort of small activity, also seemed to be a good way for bits and bytes to bond more easily, dispelling some awkwardness that we’ve seen in previous versions of Meet the Tree.


The TV in one of the rooms didn’t work, and the TV in the other room was glitchy and kept flashing on and off. This made conveying general information a little bit more tricky, and probably impacted our attendance collection a little bit.

The room layout was probably not the greatest for the format we wanted to do. Because of the walls in between the rooms, you couldn’t see between the rooms really easily, which is not great for an event where you want people to interact with each other. Preferably for next year, a room like QCC can be booked.

It seems like our repeated announcements reminding people to RSVP on Discord were successful, so probably no changed.
