Part of the difference between the estimated and actual attendance was the room being booked (CSE1202) reached max capacity after 135 signed in and came into the room. It may have been the case that some people left when they couldn’t find seating in the room. A larger venue could have been nice for this event in the future.

The purpose of this event was to introduce new and returning members to the ACM Projects cycle and showcase projects teams admitted in our last cycle created. It served as both a social event and opportunity to find interested members for the Fall projects cycle.
I consider this event a huge success, the recorded attendance was up 75% from this same event last year, and many people stayed for the entirety of the event.
Some complications were having CSE1202 confirmed as being booked, but not being given the access code to the room or knowing if we would get the code from the CSE department until a few hours before the event. Another complication was with funding being approved for food but a payment not going through to Chipotle so event hosts had to front the costs.
To improve for the next event I would ensure a few days in advance that room codes and funding were all sorted out, to avoid having that complication on the day of.
For advertisements and promotions I would announce the event a few hours earlier in the day on the day of to give people more time to make time for the event in their schedules.
