There might have been a difference since it was a time later in the day. We can decrease the difference in attendance by publicizing the event more.

I believe this counts as internal funds, but we had used our BSSA Funds to purchase gbm flyers earlier during Spring 2024.

The goal of this event was to formally introduce the Biological Sciences Student Association to new potential members, its committees, board members, advisors, and more. It was also a way to describe how membership works and the upcoming events we will be having this quarter.

Yes, there was a very good attendance and our prospective members and current members stayed the whole event and were active listeners, asking questions as the event went on.

Our most valuable resources are probably our advisors Dr. Reuther and Elaine as they helped us know that we were planning the event appropriately. Our past board members also proved to be helpful as they had previous experience to learn from.

We almost ran out of food! A few people decided that they didn't want food because the line for food was too long, but if not, we would have run out of food.

We would make sure to have a better idea of how much food to get by setting up an RSVP form and a deadline for the form. Once the deadline passes, we can order the food based on the amount of people and not have to worry about potentially anyone not getting food.

We could probably try sending our graphic out to more UCSD orgs and having them advertise on their respective instagrams for better outreach. A QR code of the RSVP can also be added onto the graphic/flyers for easy access.

We were unable to use the AS form as a “sign-in” form for our GBM because we serve food at the end of the event, and the form currently includes a question that asks, “Have you been served food yet?” As a result, we had to use it as a “sign-out” form, which creates logistical challenges. Specifically, it causes congestion as attendees are required to fill out the form as proof of attendance before leaving, leading to a bottleneck when trying to serve food. To improve the process, it would be very helpful if the question were reworded to “Will you be served food?” This would allow us to use the form for sign-in as intended, as we always publicize the availability of food on our event graphics and display this information at the entrance when attendees arrive. This adjustment would greatly ease event management by preventing crowding at the end and streamlining both attendance tracking and food distribution. Thank you!
