IF THERE WAS A DIFFERENCE IN THE ESTIMATED AND ACTUAL ATTENDANCE NUMBERS, PLEASE EXPLAIN WHY YOU THINK THERE WAS A DIFFERENCE. HOW CAN YOU DECREASE THE DIFFERENCE IN ATTENDANCE NUMBERS FOR FUTURE EVENTS? 380 checked in on portal, real attendance is probably closer to 400+ as some people may not have created accounts/checked in at that moment. The difference between the estimated and actual attendance numbers may have differed due to the fact that in order to count attendance, members have to create an account using their UCSD email, which they may have considered doing later and never did. Because we were having members scan 2 QR codes when entering (1 to create an account and then one for the AS form) but were only checking off whether they filled out the AS form, we also expect for less member accounts to have been created on our portal. We also realized after our event was over that the intro lower div CS class (CSE 11) was at the same time as our event which prevented a large amount of 1st years from coming to our event. Many of them showed up while we were cleaning up and didn’t check-in, resulting in our lowered recorded attendance as well.

WHAT WAS THE PURPOSE OR GOAL OF THE EVENT?
The goal of the event was to introduce ACM to undergraduate students and give an overview of the events and opportunities we provide. This event was also provided as a way for students to meet other people in their first week of college.

DO YOU CONSIDER THE EVENT TO HAVE BEEN A SUCCESS? WHY OR WHY NOT?
Yes, the event was an success. A lot of people came to our event, and while we had a lower attendance than last year, people mentioned to us that they had a lot of fun and I saw multiple people come back to our other events later in the week mentioning that they had come to our kickoff and heard about the event they were attending from our kickoff.

WHAT IF ANY COMPLICATIONS AROSE DURING THE EVENT?
1. There was a large bottleneck at our door as students scanned both our portal check in as well as the AS food form, both of which took some time to fill out 2. Since we were marking off students as they finished the AS form, there would be crowds forming as they waited to be checked off so they could get food

WHAT STEPS OR ITEMS WOULD YOU IMPROVE FOR THE NEXT EVENT?
Next time we’ll have more people walking down the line with the QR codes for check in + more people checking off students so by the time they enter our event, they don’t have to wait much longer.

WHAT ONLINE CHANGES WOULD YOU MAKE TO ADVERTISEMENTS OR PROMOTION?
We could’ve advertised more on our discord but our instagram marketing was well received.
