I think the difference from estimated vs actual came down to the day we chose, which was a Sunday on Memorial Day Weekend Break, meaning a lot of people, both vendors and students were not on campus and did not have as much of a turn out. In addition, this was our first time having vendors outside on Matthew's Quad instead of in PCW Ballroom, so that aspect was also different.

This is a key event for our club, as we try to host a major keyboard event every quarter, with this being the last quarter, and hope to give out free keyboards through sponsors so people can join the hobby as well as build up artists and vendors in our artist alley and buy from them as well.
Despite the difference in attendance numbers from expected versus actual, I think this event was a success, as we were able to ensure all of our vendors were happy, the participants were pleased, and able to experiment with new venues and ideas for how our future meets will be structured.
Yes attendance was different that what was recorded on A.S. attendance verification, as people came throughout Matthew's Quad and signed in later through our TicketTailor, having the number be checked later for accuracy.
Mainly the takedown of the bright umbrellas and tables were delayed due to it being on the weekend and hard for the trucks to come in, but it eventually was able to work out we just had to have officers stay longer than expecte.d
For our future meets, we will be more open to have similar formatting in different venues, but we will continue to try to push promotion and incentives to raise our awareness and attendance for future events.
We would continue to try to promote our events earlier, having more of our incentives such as our opportunity draws being promoted, as well as on other platforms like reddit and through local keyboard forums to have outside attendance and awareness be prominent.
